The 30-Day AI Hours Tracker
One page to find out, in a month, whether the AI task you hand off actually saves money or just makes your week easier.
On October 7, Bluevine published a survey where 53% of small business owners said AI or automation already does the work of at least one employee. The next day, economists at the New York Fed pointed to the Federal Reserve's Small Business Credit Survey: among small businesses using AI, 77% saw no change in their labor costs.
Both can be true. Here's how:
And the part nobody measured: the Philadelphia Fed noted the survey never asked businesses how they measured their productivity gains. None of these surveys put hours against money inside the same business. That number only exists in your own books.
Your business is the research.Pick one task AI now does or helps with every week. Just one. Examples: writing quotes, chasing invoices, your social posts.
An hour AI gives you back goes through one of three doors. This is a way to sort it, not a survey finding.
Door three is real. It's just not money. Every Friday, answer honestly: what did you actually do with that time?
Before you start, pick the one line in your books that should move if this is working: overtime, a contractor's invoice, sales from the calls you made with the time, or the hire you're putting off, with its date and its cost written down. Then subtract what the AI costs you each month.
MONEY LINE: [OVERTIME / CONTRACTOR INVOICE / SALES FROM CALLS / HIRE ON HOLD: DATE + COST]
AI COST PER MONTH: $[AMOUNT]
Week 1, old way: [MINUTES]
Week 2, with AI: [MINUTES] + fixing [MINUTES]
Time back per week: [OLD MINUS AI]
Friday 1, the door: [WHAT I DID WITH THE TIME]
Friday 2, the door: [...]
Friday 3, the door: [...]
Friday 4, the door: [...]
Money line at start: $[AMOUNT] After 30 days: $[AMOUNT]
Change minus AI cost: $[AMOUNT]
Decision: [HAND AI THE NEXT TASK / DECIDE WHERE THE HOURS GO FIRST]
A worked example (made-up numbers)
A cleaning company with six people. The owner spends five hours a week writing quotes. With AI it takes an hour and a half, plus thirty minutes fixing them: three hours back. If those hours go into calling leads that used to go cold, and that closes two more jobs a month, that's door one, and it shows up in sales. If they disappear into the inbox, AI made the week easier. That's worth something. It's just not the work of an employee.
After 30 days. If the money line moved, hand AI the next task. If it didn't, decide where the hours should go before you hand over more.
How many businesses use AI? The Census Bureau says about 24%. The Fed says 46%. Bluevine said 74% in July. That's not three opinions. It's four questions:
Widen the question and the number grows. By the Census count, fewer than one in four businesses used AI at all in the last two weeks, so if you're measuring this, you're early.
